User not shown in Outlook Address Book

If a user isn't showing up in the Global Address List (GAL) in Outlook, it might be due to Outlook using an offline cached address book. A new user may take up to 24–48 hours to appear in Outlook’s offline address book.


Here are the steps to force Outlook to Download the Latest Address Book

  1. Go to the Send/Receive tab on the Outlook ribbon.

  2. Click Send/Receive GroupsDownload Address Book.

  3. In the popup:

    • Uncheck "Download changes since last Send/Receive".

    • Select Global Address List.

    • Click OK.

  4. Outlook will download the latest GAL from the Exchange server.
